Terms & Conditions

These Terms & Conditions (“Terms”) govern all reservations and accommodation services provided by SOSHIJI ARASHIYAMA (“the Property”) through this website (“Website”).
By making a reservation through this Website, you acknowledge that you have read, understood, and agreed to these Terms.

Scope of Application

  • These Terms apply to all accommodation reservations made through this Website and the use of any related services.
  • Any individual rules, notices, or other guidelines posted by the Property on this Website shall constitute part of these Terms.

Reservations

  • A reservation is confirmed once the required information has been submitted through this Website and confirmation has been issued by the Property.
  • The Property reserves the right to refuse or cancel a reservation under the following circumstances:
  1. The requested dates are unavailable or the reservation exceeds the maximum occupancy.
  2. The Property reasonably believes that the guest may violate these Terms.
  3. The reservation cannot be fulfilled due to natural disasters, emergencies, or other unavoidable circumstances.
  4. The Property otherwise determines that accepting the reservation would be inappropriate.

Rates & Payment

  • All accommodation rates displayed on this Website include applicable Japanese consumption tax unless otherwise stated.
  • Payment must be made using one of the payment methods available on this Website.
  • Additional charges for optional services, if any, will be charged separately.
  • Payment information, including credit card details, is securely processed and managed by our authorized payment service provider. The Property does not store your payment information.

Cancellation Policy

If you cancel your reservation for personal reasons, the following cancellation charges will apply.
Cancellation periods are calculated based on the scheduled check-in date. The deadline for each cancellation period is 11:59 PM (Japan Standard Time) on the applicable day.

Cancellation Fee: Free (0%)

29-14 days before check-in

Cancellation Fee: 50% of the total accommodation charge

13 days before check-in or later

Cancellation Fee: 100% of the total accommodation charge

No-show (without prior notice)

Cancellation Fee: 100% of the total accommodation charge

*Cancellation fees may be automatically charged to the credit card registered at the time of booking.

Check-in & Check-out

  • Check-in: 3:00 PM – 10:00 PM
    Check-out: By 10:00 AM
  • Please follow the check-in instructions provided by the Property.
    Guests who fail to arrive without prior notice by the end of the check-in period may be considered a no-show. In such cases, the reservation may be cancelled and a cancellation fee equal to 100% of the total accommodation charge will apply.

House Rules

Guests must comply with the following rules while staying at the Property:

  1. Harassment, abusive language, threats, or disruptive behavior toward other guests or staff is prohibited.
  2. Smoking is permitted only in the designated smoking area within the garden. Smoking is strictly prohibited inside the building and in all other non-designated areas. If smoking outside the designated area is confirmed, additional cleaning or related charges may apply.
  3. Pets may not be brought onto the Property without prior approval.
  4. Guests must not damage, remove, or misuse any facilities, furniture, equipment, or amenities belonging to the Property.
  5. The number of overnight guests must not exceed the number stated in the reservation. Reservations and accommodation rights may not be transferred to another person without prior approval.
  6. Guests must not engage in any conduct that violates applicable laws or public order and morals.
  7. As the Property is located in a quiet residential neighborhood, loud conversations, phone calls, and other excessive noise are prohibited outdoors after 9:00 PM, including in the garden, parking area, and surrounding premises. Guests who fail to comply may be asked to leave the Property.
  8. Any other conduct deemed inappropriate by the Property is prohibited.

Liability

  • Guests are responsible for any damage to the Property, its facilities, furniture, equipment, or amenities caused intentionally or through negligence and may be required to pay the applicable repair, replacement, or compensation costs.
  • The Property shall not be liable for any loss or damage arising from circumstances beyond the Property’s reasonable control.

Privacy

  • Personal information collected through reservations will be used solely for reservation management and communication related to your stay.
  • The Property will not disclose personal information to third parties without the guest’s consent, except where required by law.
  • Please refer to our Privacy Policy for further details regarding the handling of personal information.

Disclaimer

  • The Property shall not be liable for any interruption or inability to accept reservations or provide accommodation services due to natural disasters, power outages, system failures, public health emergencies, or other unavoidable circumstances. However, this limitation shall not apply where the loss or damage is caused by the Property’s intentional misconduct or gross negligence.
  • Information published on this Website may be changed or updated without prior notice. The Property does not guarantee that all information provided on this Website is accurate, complete, or free from error.

Changes to These Terms

The Property may revise these Terms as necessary.
Any revised Terms will become effective upon publication on this Website.
Reservations confirmed before any revision will remain subject to the Terms in effect at the time the reservation was confirmed.

Reservations by Minors

Guests under the age of 18 must obtain the consent of a parent or legal guardian before making a reservation through this Website.
Reservations made without such consent may be deemed invalid or cancelled.

Governing Law & Jurisdiction

  • These Terms shall be governed by the laws of Japan.
  • Any dispute arising in connection with these Terms shall be subject to the exclusive jurisdiction of the Kyoto District Court as the court of first instance.
